LAS VEGAS TANGO ASSOCIATION

6 th Meeting – April 19, 2009 - Minutes  
 

Meeting Venue: Panera Bread Company 6:00 pm

Present: 6 people (Danielle, Denise, Mi-Ann, Miriam, Sharon, and Xavier )

The meeting started at 6:15 am.

During last meeting, Yoly and Tonya’s resignations were accepted by the Board.

ATCLV Milongas:

ATCLV will only do 5 th Saturday of the month Milonga, the next one being on May 30 th.

Xavier will take care of water and food for the May Milonga. The theme will be

“1940s Night”.

 

We discussed having a raffle, table decorations and budget for supplies.

 

Alyson and Xavier will teach the class; Alyson will be the DJ.

 

Denise will prepare a list for volunteers and a design for milonga cards.

 

We will honor free passes that were given, but not give away any more.

 

Next Milongas: August 29, 2009 “Hot Summer Nights”

October 31, 2009 “Halloween”

Membership:

We discussed membership benefits and realized we needed someone to head the membership committee.

Art Center and 1 st Friday

The venue at the Art Center is great and free. We may look into having a Tango Festival with a Live Band.

We do tango demos during 1 st Friday; next date is May 1, 2009 at 7:00pm.

 

Library

Their budget was cut. A free venue is available to do a show (September 26 or other date), but performers will not be paid. ATCLV will support the performers.

Website

Miann will have our website beginning in May: tangolasvegas.org.

5th meeting – March 8, 2009 - Minutes  
 

Meeting Venue : at Tom and Tonya’s home in Henderson

Present: 7 people (Danielle, Mi-Ann, Miriam, Sharon, Tom, Tonya and Xavier )

The meeting started at 11:11 am.

A. Approval of last meeting’s minutes

Minutes were approved unanimously.

B. Treasurer’s Report – MiAnn Bennett

- MiAnn reported on the money made and paid at our first milonga.

- Donations are tax-deductible.

- MiAnn will file the Non-Profit Status with the State and open a bank account.

For the Federal filing, we have 90 days after we make $ 5500.00.

 

Sharon motioned to file with the State; Xavier seconded; all approved.

C. Website – MiAnn

MiAnn started on the Yahoo calendar and blog and showed us her progress. She will populate the calendar and inform us when it’s ready to be linked with other sites. MiAnn will handle the postings.

D. Event Director’s Report – Sharon

- 3/15/09: we will start demos at the Art Center (1 st and 3 rd Sunday of the month), from noon to 4pm (except this Sunday, will be 1 to 5 pm). Sharon will need 3-4 couples to do demos (no more because of liabilities and fees).

- ATCLV promotes tango for the love of tango (not to compete with instructors)

- 1 st Friday of month: Dance on thestreet – evening downtown

Meeting by Casino Center Drive and California Street

- Sharon will make business cards for board members and FREE Passes to the ATCLV monthly tango, to be used within 90 days.

- 9/26/09: at Library: Sharon is still working on it. We can dance on the stage; audience has a capacity for 276 people.

- We had 9 new people at our first milonga. We will continue the potluck format.

 

E . Membership Director’s Report

- By next meeting, we will have a mission statement and benefits of membership. Everybody needs to think about it.

- Our milongas will be alcohol-free, for liability reasons.

- Tango hotline: easy to set up once we are ready.

- We could offer discounts to our milongas to veterans and students who take classes.

 

Xavier motioned to offer the discounts; Danielle seconded; all approved.

G. New Business

 

- We will only send minutes and agenda to Desiree, and not all communications going back and forth between board members.

- We will promote everybody’s classes and events. Sharon will send a letter to the instructors inviting them to

- give us their material at least one week before our monthly milonga if

they want us to promote them

- update us of their events so we can update our calendar

- ATCLV will not make a flyer about monthly events. Events will be posted on the calendar.

- March Milonga: at Tango Salon; Instructors will be Miriam and Tonya: they will teach a Chacarera; Miriam will DJ. Theme: Spring Colors “Primavera Milonga”; MiAnn will MC.

We will do a Waterfall during the milonga and have a monthly Chacarera.

- For now, DJs and instructors are offering their services for free. Once ATCLV has funds, we will pay instructors and DJs.

- The home of the ATCLV monthly milonga will be Tango Salon for 1 year (3686 E. Sunset, Henderson, NV 89120)

4th meeting – February 8, 2009 - Minutes 
 

Meeting Venue: at Xavier Wasiak's home, 9813 Bearpaw, Las Vegas, NV  89117

Present: 11 people (Danielle, Denise, Hannah, Marcos, Mi-Ann, Myriam, Roger, Ruta, Tom, Xavier and Yolanda)

The meeting started at 11:15 am.

Xavier informed us that Sharon had a last minute emergency and could not participate. She emailed reports.

A.        Approval of last meeting's minutes

Minutes were approved unanimously.

B.        Treasurer's Report – MiAnn Bennett

We have nothing in the treasury yet.

MiAnn stressed the importance of having a name.

Because of the tragedy which struck Tom and Tonya, membership benefits discussion is reported to next meeting.

C.        Website – Desiree

Minutes have been posted.

We unanimously decided that we needed a separate Yahoo Group for Argentine Tango.

MiAnn will set up a Calendar on Yahoo Group; the instructors will be able to post information. It will be edited the 1st of every month. Files (agendas, minutes, database, etc…) can be posted on it. General public will have access to it.

MiAnn and Hannah will present recommendations regarding web presence at the next meeting.

Marcos and Ruta suggested that the instructors put a link from their website to our website, in order to promote it. It will be a two-way street.

D.        Event Director's Report

Denise reported on the Art Center of Nevada demonstration which took place on January 25, 2009. The Art Center is open to our group dancing there; however their room is too small for milongas.

We will offer one Saturday milonga a month. We plan on rotating instructors offering classes and showcase.

Our first milonga will be on 2/28/09 at Dance Charisma. Tom is going to check on the hours of availability.

The Board will host it. Volunteers to set-up: Denise, MiAnn, Xavier and Danielle. Volunteers to take down: Xavier and MiAnn. Xavier will start greetings and then we will rotate as needed.

Decorations: Red, Pink and Black; Budget for decorations, water and room $ 200.00 (Dance Charisma is $ 30.00/hr). First comer to Argentine Tango: Free / Everybody else pays $ 15.00.  The Event Committee is in charge of the event.

We need flyers and business cards from all instructors. We could make a flyer (with pictures) to advertise the event.

We will have a potluck and find people who offer catering. Tom and Tonya offer to do the first class / showcase. We expect about 30-40 people.

We have the opportunity to offer a demo on September 25 or 26 at the West Charleston Library, during Latin America Heritage month. The Summerlin Library will get back in touch with Sharon about an eventual event.

There is an outdoor festival in Henderson on April 4th in which we could participate.

For these events, we need to have flyers and business cards from all the instructors to offer to people watching, as well as an e-mailing list for them to sign in.

F.         Old Business

501C(3) has to be educational.

TAD (Tango Argentino Dallas) could provide more information.

If we take-in (or have, or profit?) less than $ 5000.00, we don't need to file with IRS. Incorporation is $ 75.00.

Are we going to allow alcohol? To be discussed.

We chose a name: ARGENTINE TANGO COMMUNITY OF LAS VEGAS (ATCLV).

Tango hotline trailed to next meeting.

G.        New Business

Hannah spoke with Alyson and Gabriel; they will offer 1 year of free classes to Iraqi veterans. Argentine Tango is recognized as helpful therapy for people suffering from PTSD.

We need to develop the idea and have a package-option for veterans. We may be able to get sponsors if we do this.

We need to check about demos at Nellis Air Force Base.

3rd meeting – 01/11/09 - Minutes  
 

Meeting Venue : at Xavier Wasiak’s home, 9813 Bearpaw, Las Vegas, NV 89117

Present: 10 people (Danielle, Mario, Mi-Ann, Myriam, Roger, Sharon, Tom, Tonya, Xavier and Yolanda)

The meeting started at 11:21 am.

Xavier summarized Robert’s Rules of Conduct, which he had emailed to everyone. His goal is for meetings to last about one hour.

Yolanda stated that her rules as a moderator will be Courtesy, Courtesy, Courtesy… and to keep to the agenda.

A. Approval of last meeting’s minutes

Approved by Tonya, seconded by Danielle.

B. Treasurer’s Report – MiAnn Bennett

MiAnn discussed the cost of becoming a non-profit organization and the requirements for opening a bank account.

The association needs a name; membership dues and benefits need to be defined; a projected budget needs to be submitted.

Sharon knows someone who is willing to contribute money as soon as we have a 501 status.

We need to find the proper grammar to let people know that we are in the process of applying for a non-profit status, so we can offer shows at libraries, etc.

C. Website – Desiree

We will eventually have our own website, but for the moment, Desiree has offered us a webpage on her site www.zapatosrojos.info, which is greatly appreciated.

It would be good if other teachers put a link to www.zapatosrojos.info on their own website, so people can check all the Tango events happening in Las Vegas.

We may need a webmaster to monitor the postings. We need to check with Desiree.

Yolanda will email Desiree an announcement letter (approved by the board members), by 01/15/09, requesting ideas from the tango community about a name for the association, and inviting people to attend the meetings. Sharon and Miriam will post copies of the letter at their milongas. Deadline for suggestions is 02/01/09.

Xavier plans on getting the agenda ready one week before a meeting, so it can be posted on the site.

A calendar of the meetings can also be posted; we plan on meeting the second Sunday of every month, at 11:00 am, location to be announced for each meeting.

D. Director’s Report

We need a Membership Director: Tonya volunteers.

She will plan membership cards and a membership letter.

We need an Event Director: Sharon volunteers

It is decided that Committee Directors need to be Board Members.

Sharon asks Board Members to email a bio, so we get to know more about each other, and whom we can go to for help needed.

F. Old Business

Mission Statement: Tonya will put something together. Xavier will send her the notes he took during the first meeting regarding what is important to the group.

The mission statement needs to embrace everybody and all styles, and be free from intimidating statements.

Name: The name for the association has to include the words “Argentine Tango”. Argentine Tango Association of Southern Nevada would be good, as it encompasses more than just Las Vegas ( Henderson, Boulder,…) and it starts with an “A”, placing it at an advantage in a search. Tonya volunteered to monitor the suggestion offered by the tango community.

By-Laws: It is a legal document. We have a template for a mission statement and by-laws from the Tango Society of Minnesota. We need to make it fit Nevada Statutes. MiAnn will check on that. Xavier will send by-laws of other non-profit organizations to MiAnn, who will put by-laws together before the next meeting; she asks that information be emailed to her no later than a week before the meeting, i.e. by 02/01/09.

Incorporation: We need to research and decide whether we want to be a 501C (3) – which is a charitable organization - or a 501C (7) – which is a social club.

As a (3), contributions would be tax deductible.

G. New Business

Sharon mentioned that research has shown tango to be helpful for people suffering from Parkinson’s, heart conditions, Alzheimer, etc.

We can do shows for senior citizens, assisted living centers, schools, at cultural events… all with the goal of having fun.

Discussion about membership dues, donations, contributions, benefits, etc ensued. Tom and Tonya gave us ideas about what was done in Minnesota.

Xavier suggested we look into a Tango Hotline for people who do not have internet access – to get information and leave messages. It would need to be updated regularly. We could rotate responsibility to stay on top of it.

TANGO ASSOCIATION of LAS VEGAS

2nd meeting – 12/14/08 - Minutes  
 

Meeting Venue : at Sharon Linam’s home / 2904 Black Forest Dr. Las Vegas, NV 89102.

Present: 16 people (Chris, Confite, Danielle, Denise, Desiree, Mi-Ann, Myriam, Roger, Sharon, Tom, Tonya, Victor, Will, Xavier and Yolanda + Jean, guest from MN)

The meeting started at 11:22 am.

Agenda:  Choosing officers/directors

Sharon started the meeting by reading a supportive letter from Alyson and Gabriel. Sharon stated that we had the support of all the teachers.

1. We discussed how the board members should be elected or nominated.

In order to get incorporated and qualify as a non-profit organization, we need a minimum of 4 officers: president, vice-president, secretary and treasurer.

We decided to nominate/elect 7-9 people to the board.

2. We discussed whether teachers and/or studio owners who could use the position to benefit financially should be allowed to become president.

It was decided that anyone could fill any position. The goal of the Association is to promote tango. By-laws will specify that a position on the board should not be used for self-interest.

4. Each person shared what was important to them about tango and the tango community. The following were mentioned: growth of the tango community, exposing and promoting tango to the community at large, positive energy, love and passion for tango, social aspect of tango, music, keeping the association unbiased and non-commercial, therapeutic elements of tango for body, mind, soul and spirit.

 

5. Website: Desiree Vittorio will take care of the website.

- She asked that we send her text and photos in the body of an email and NOT as an attachment.

- Minutes of the meetings will be posted on the website, as well as the agenda for the next meeting (if people cannot attend yet want to submit ideas/comments, they can send an email).

- Teachers will need to send their name, synopsis and a link to their own website.

- Email her to let her know about events AND cancellations: zr@zapatosrojos.info
